Job Summary
Reporting directly to the Chief, the Executive Assistant provides confidential administrative and executive support to ensure the efficient operation of the Chief’s Office. This position is responsible for managing the Chief’s calendar, coordinating meetings and appointments, monitoring and prioritizing correspondence, and supporting communication with internal and external stakeholders.
The Executive Assistant serves as a key point of coordination for the Chief, helping manage competing priorities, ensuring timely responses to inquiries, and maintaining organized records and schedules. The incumbent must exercise sound judgment, maintain strict confidentiality, and demonstrate exceptional organizational and communication skills.
Education/Experience
• Diploma or certificate in Office or Business Administration, Executive Administration, or a related field. An equivalent combination of education and experience may be considered.
• Minimum 3 years’ experience providing administrative support to senior management.
• Experience managing complex calendars, correspondence, and competing priorities.
• Experience working independently.
• Strong organizational and time management skills.
• Effective written and verbal communication abilities.
• Excellent attention to detail and accuracy.
• Ability to prioritize multiple tasks and adapt to changing priorities.
• Strong judgment, discretion, and professionalism.
• Proficiency with MS Office, Microsoft Teams, Outlook, and other virtual collaboration tools.
• Experience establishing and maintaining positive working relationships with a wide variety of stakeholders.
Working Conditions
• Remote work environment will be considered.
• Flexible schedule within operational requirements.
• Availability during regular business hours to support the Chief’s schedule.
• Occasional evening or weekend work may be required to accommodate meetings or events.
